RMS is a smart B2B SsaS system designed to make life easier for restaurant owners, managers, and staff by simplifying processes and improving efficiency.
ABOUT THE PROJECT
As part of my studies, we created RMS—a smart SaaS system built to make running a restaurant smoother. The idea came from a friend who worked at a startup where a similar concept didn’t take off. we took their raw idea, reimagined it, and added features to better suit both users and businesses.
Problem discovery
Disconnected Roles, Lost Efficiency
During the research phase, we identified key challenges faced by restaurant managers and staff. These include poor synchronization between key roles, inefficient communication among team members, and the absence of a centralized system to manage daily operations.
Exploration
So, who are the key players that drive restaurant success
we found that the shift manager, restaurant manager, and purchasing and logistics manager are the key players behind a restaurant's success. Each role keeps things running smoothly, from daily coordination to managing supplies.
Solution
All-In-One Restaurant Management Platform
a platform that brings everything about restaurant management into one place. It makes team communication smoother, daily tasks simpler, and ensures nothing gets missed. From managing staff to tracking seating and inventory, RMS helps streamline operations, boost sales, and keep expenses under control.
Analyzing Market & Competition
Strong POS Tools, Disconnected Features: Competitor Takeaways
we noticed some clear strengths and gaps in the systems out there. Competitors do a great job with POS integration and inventory tools, but they often rely on disconnected systems, forcing users to juggle multiple tools for managing teams, reports, and tables—making things harder than they need to be.
Identifying competitors' strengths and weaknesses helped us shape our product to address their users' pain points.
User Research
The Missing Tools according to the study: Real-Time Data, Communication & Advanced Analytics
To build a solution that really works for restaurant teams, we started by asking the people who know best. We reached out to as many relevant roles as possible—shift managers, restaurant managers, and logistics managers—to learn about their biggest challenges. The top missing tools they highlighted were real-time inventory management, advanced analytics, Performance tracking and better communication.
Brainstorming
From Questions to Ideas: Brainstorming Solutions
In the brainstorming phase, we used mind mapping with a 'no bad ideas' approach to ensure creativity flowed freely. Every idea was about the needs uncovered in our research, from communication gaps to the lack of real-time tools.
We focused on what users need, separating the challenges from the solutions, to create features that make a difference.
Feature Prioritization
Focusing on What Matters Most Within Time Limitations and Simplicity
With limited time and a focus on simplicity, we prioritized features that solved key user pain points. Too many options can overwhelm users, so we focused on adding clear value with unique features while keeping the essentials they already rely on from other systems.
Wireframing
From Ideas to Structure
Wireframing was where ideas began to take shape into practical designs. we started with low-fidelity sketches to map out the core user flows, focusing on clarity and ease of navigation. The goal was to prioritize features like real-time data tracking and team communication while keeping the interface simple and intuitive.
Dashboard Design
Simple and Intuitive UI for Long-term Use
When designing the dashboards, we focused on a 'one learn, know forever' approach- making the interface intuitive so that users understand it after one use, navigating effortlessly without overthinking. We also included dark mode on every screen, as our users—shift managers and restaurant managers—would spend long hours with the system. This ensures a comfortable, user-friendly experience that's easy on the eyes.

IN CONCLUSION
This project taught me a lot, but the biggest takeaway was how important feature prioritization is for creating user-focused solutions. I enjoyed the research phase, diving into user needs and insights. Looking back, I’d simplify the features even more to better target my users and make the experience as clear and straightforward as possible.
